How quantities usually work

These are the patterns I see most often across Redland Bay, the Redlands, Brisbane bayside and Logan. They sit behind the calculator, so you can sanity-check its suggestion against your own guest list.

Cupcakes as the main dessert

With no cake and no other dessert, plan on 1 to 1.5 standard cupcakes per guest. Afternoon events tend to run higher than mornings.

Cupcakes alongside a cake

When a cake is being cut, cupcakes become a second option rather than the main event. One per guest is usually generous.

Dessert tables and grazing

Guests take smaller amounts of several things. Mini cupcakes, cake pops and cakesicles work beautifully together here.

Children's parties

Children eat less than adults but love taking treats home. Consider boxing a few for the going-home bags.

Workplace morning teas

Count everyone rostered on, not only those who RSVP. A small buffer covers colleagues who drop in.

Individually gifted treats

For client or staff gifting, plan one item per recipient and add extras for spares and presentation.

How many cupcakes do I need per person?

When cupcakes are the main dessert, allow around 1 to 1.5 standard cupcakes per guest. If they sit alongside a cake or a larger dessert table, one per guest is usually plenty. Grazing-style events tend to see guests return for seconds, so a small buffer helps.

How many mini cupcakes equal one standard cupcake?

A mini cupcake is roughly a third of a standard cupcake, so I plan on about 2 to 3 minis in place of one standard cupcake. Minis suit dessert tables and workplace morning teas where guests like to try more than one flavour.

Should I order extra cupcakes?

A buffer of 5 to 10% is a comfortable allowance for late RSVPs, vendors and helpers, take-home treats, and popular flavours running out first. It is entirely optional — the calculator lets you choose.

How many cake pops or cakesicles do I need?

Cake pops are usually planned at around one to one and a half per guest when they are part of a dessert spread, with a minimum order of 12. Cakesicles are generous single servings, so one per guest is typically enough.

How far in advance should I order?

A minimum of 7 days' notice is required for standard orders. For custom designs, I recommend allowing around 2 weeks. Orders of 100+ pieces, corporate gifting and larger event orders generally require around 4 weeks' notice. Popular dates and seasonal periods can book out earlier, so additional notice is always recommended where possible.

Is this calculator a guaranteed quote?

No. It is a planning estimate only. Final quantities and pricing are confirmed when you submit an order or quote request, and may vary depending on your guests, product sizes, event style and other food being served.
